THIS EXPLAINS HOW WE HANDLE THE HEALTH INFORMATION YOU SHARE WITH US, AND THE CONTROL YOU HAVE OVER IT. PLEASE READ IT.
You tell us things here you don’t tell most people. We take that seriously. This page explains what we do with the information in your chart, who ever sees it, and what you can ask us to do with it. We follow the terms of the version currently in effect.
This covers the health information in your record at our clinic — what you tell us during your consultation, your medical and medication history, the treatments you receive, your photographs, and the records of what you paid. It is separate from our website Privacy Policy, which covers information collected online.
Brains & Beauty Aesthetics is a cash-pay practice. We do not submit claims, verify benefits, or transmit records to any health plan, insurer, or clearinghouse. Nothing about your treatment is reported to your insurance company, and nothing about it appears in an insurance record.
For most of our patients this is the point. What you choose to do here stays between you and us.
We are bound to keep your information confidential by Arizona law governing medical records, by the professional licensing obligations of the registered nurse and nurse practitioner who care for you, and by the terms of this page, which we are committed to following as long as it is in effect. We are also required to tell you if your information is ever exposed.
We use your information for the following purposes without asking you to sign anything further:
To provide and coordinate your care — our nurse practitioner and aesthetic nurse review your history together to decide whether a treatment is appropriate for you and to plan it safely.
To charge you for the services you receive and keep a record of it. Our payment processor sees your name, contact details, and the amount — never your medical history or what treatment you had.
Quality review, staff training, and general business management.
We may call, text, or email you to confirm an appointment, remind you of one, follow up after a treatment, or tell you about services that may interest you. Tell us any time to reach you a different way, or to stop. See our SMS Terms for text messaging specifically.
With your agreement, we may speak with a family member, friend, or anyone else you bring into it.
We may share information when we are legally required to — to report suspected abuse or neglect, for public-health or health-oversight purposes, in response to a valid court order or subpoena, to law enforcement where the law permits, to a coroner or medical examiner, for workers’ compensation purposes, or to prevent a serious and immediate threat to someone’s safety.
Each of these requires your separate signed authorization, which you can revoke in writing at any time. Revoking it doesn’t undo anything we already did while it was in effect.
A sale means handing your information to someone else in exchange for payment — money or anything else of value. We do not do this. We will never sell, rent, or trade your contact details, treatment history, photographs, or anything else in your record to advertisers, data brokers, marketing companies, or any other outside party.
There is exactly one situation in which your records would move to someone else: if our practice is ever sold to or merged with another practice, your chart transfers to the new owner as part of that change, and the new owner would be held to the same commitments made on this page. Outside of that, your information does not leave here in exchange for money, ever. Routine sharing needed to treat you or take your payment — our charting system, our payment processor — is not a sale, and those vendors work for us under written agreement.

We may update this page, and the new terms will apply to all information we hold, including information created before the change. The current version is always posted in the clinic and on this website, with the effective date at the top.
Talk to us first — contact our Privacy Officer below and we will look into it. We will not treat you differently for raising a concern, and it will not affect your care.
If we don’t resolve it, you may contact the Arizona State Board of Nursing, which licenses and oversees our clinical staff, or the Arizona Attorney General’s Consumer Protection office.
